Organ:
The General Secretariat directs all the administrative and financial aspects of the Union's activities, including the implementation of the provisions of the administrative regulations on operational questions, the dissemination of information on telecommunication matters for operational and other purposes, the provision of legal advice to the Bureaux of the Union and the departments of the General Secretariat, logistic support to the Union's activities including conferences, the coordination of the work of the Union with other international organizations, the dissemination of information to the Member States and Sector Members, press, corporate and individual users of telecommunications and the general public.
The General Secretariat is also responsible for the organization of world telecommunication exhibitions and forums.
Organization Unit:
The TELECOM Secretariat has responsibility for the planning, organization and execution of all ITU Telecom world and regional telecommunication exhibitions and associated forums which are of considerable assistance in keeping the Member States and Sector Members informed of the latest advances in telecommunication techniques and in publicizing the possibilities of applying telecommunication science and technology for the benefit of all Members of the Union including the developing countries.
ITU Telecom also features other related activities.
Main Tasks and Responsibilities of the Internship
Within the Knowledge Exchange Programme (KEP) team, under the direct supervision of the KEP Support Officer, the incumbent will have the following tasks to assist in for ITU Telecom World 2014 which takes place in Doha, Qatar from 7 to 10 December 2014. Unless otherwise specified, all activities will take place in Geneva.
Assist in the follow-up of invitation letters to speakers, acknowledge responses and update speakers' records in the Telecom database to ensure the correctness of data
Liaise with other Telecom teams in the coordination and exchange of information concerning Telecom contacts to ensure coherence of Telecom database.
Contribute to collecting and organizing speakers' biographies, pictures and presentations including verifying the suitability of the received and their timely upload on the ITU Telecom World 2014 website
Provide assistance to speakers and liaise with their focal points responding to written and phone enquiries as needed to facilitate the speaker's participation in ITU Telecom World 2014
Contribute to the maintenance of ITU Telecom web pages by regularly verifying that the correct information is published concerning the Forum Programme
Assist in the management of the registration back office completing and updating speakers' data records and researching company profiles
Participate in producing various statistics, checklists, evaluation charts and status reports
Assist in projects that falls under the KEP team responsibilities
Carry out other tasks as required Qualifications required
Education:
Intern must be enrolled in an undergraduate or graduate/post-graduate programme or be a student recently graduated (within six months) possessing a university degree in ICT, business, marketing, communications, social sciences, public or international relations, or a related field.
Languages:
Excellent verbal and written communication skills, with ability to draft clear and accurate correspondence in English. Knowledge of an additional ITU official language (Arabic, Chinese, French, Russian or Spanish) would be an advantage.
Competencies:
The ideal candidate should be highly organized, concerned with accuracy and quality of information, flexible, and able to keep a positive attitude under pressure. The ideal candidate should also be service orientated, exercising diplomacy and tact and demonstrate initiative and enthusiasm. Knowledge of Microsoft Word, Excel and ability to quickly learn new software applications are required. The ideal candidate must have the ability to work well in a team and in a multicultural environment.
